Move-out losses usually come from missing evidence: no move-in condition record, no receipts, no inventory check, and deductions with no proof. Make the process repeatable and you reduce disputes and improve your chance of getting the deposit back. Use this conservative timeline + copyable messages.

Conservative move-out timeline (T-14 to key handover)

When What to do
T-14 days Confirm notice period + handover date; centralise your contract/receipts/chat confirmations; book cleaning/aircon if required by the lease.
T-7 days Arrange a pre-handover check: ask owner/agent what they’re worried about; tell them you’ll provide a dated evidence pack.
T-3 days Capture a full photo/video set (timestamped): corners, floors, appliances, aircon vents, bathrooms; check every item against the inventory list.
T-1 day Prepare utilities/internet settlement: latest bill screenshots; confirm keys/access cards count; empty trash and do a final walkthrough.
Handover day Inspect together and document: take handover photos; request evidence (photos/invoices/work orders) for any deductions; confirm deposit return method + timeline.

Your move-out evidence pack should include

  • Move-in condition record: dated photos/video (if you have them) + the signed inventory appendix.
  • Aircon servicing/repair receipts: date, scope, and amount.
  • Written confirmations: repairs responsibility, house rules, special permissions.
  • Handover-day photos: meter readings (if applicable), keys/access cards, full-room shots.

How to handle deductions (conservative approach)

  • Avoid verbal arguments: ask for a written list of items, amounts, and evidence.
  • Separate normal wear vs damage: for “damage”, request invoices and matching photos.
  • Evidence vs evidence: compare move-in record and move-out photos before negotiating.
  • For third-party cleaning/repairs: ask for quotes/invoices, not a single lump sum.
